How to Manage Participant Emails

Adding Email Addresses to Participants

Score7 lets you store email addresses for your tournament participants. This is useful for keeping track of contact information and lays the groundwork for future features like notifications and check-in.

Participant emails are completely optional — you can add them for some or all participants whenever you're ready. The regular participant flow (adding names, generating the schedule) is not affected.


Managing Emails in Bulk

To add or update emails for all participants at once:

  1. Go to the Participants page (or Teams if teams are enabled)
  2. Open the panel menu and select Manage Emails
  3. You'll see a table with each participant's name and an editable email field
  4. Fill in the email addresses you have — leave others blank
  5. Check the consent checkbox confirming you have permission to use these emails for tournament communications
  6. Click Save

The save button stays disabled until you check the consent checkbox. The checkbox resets each time you open the dialog.


Editing a Single Participant's Email

If you only need to update one participant:

  1. Find the participant on the Participants page
  2. Open their action menu (the three-dot menu)
  3. Select Edit Email
  4. Enter or clear the email address
  5. Click Save

Who Can See Emails

Participant emails are only visible to tournament owners and admins. Editors, visitors, and anyone viewing the tournament through a shared link or embedded page will never see email addresses — not in the interface and not in the page source.

When at least one participant has an email, you'll see an informational banner confirming this: "Participant emails are only visible to tournament admins." You can dismiss this banner and it won't appear again for that tournament.


Emails from Self-Registration

If you use the registration feature and participants register with their email address, those emails are automatically carried over when you generate fixtures. No manual step needed — the email they used to register becomes their participant email.


Importing Participants with Emails

When you import participants from another tournament, any existing email addresses carry over along with names and logos. This works in both "Replace" and "Add" modes.


Email Validation and Format

  • Emails are optional — no participant is required to have one
  • Invalid email formats are caught before saving, with a clear error message
  • Emails are automatically normalized: trimmed of whitespace and converted to lowercase
  • To remove an email, simply clear the field and save

Good to Know

  • Adding or editing emails does not affect your tournament schedule or match results
  • Emails are stored per participant (or team), not per individual player within a team
  • All email management text is available in 9 languages
  • There is no CSV import or export for emails at this time
